Java Love Coffee Roasting Co. is looking for a highly organized, energetic, hands-on Part-Time Event & Catering Manager to take ownership of our catering and special events—from the first customer conversation through planning, staffing, preparation, execution, breakdown, and follow-up.
This is not a desk-only event planning position. We’re looking for someone who can create a flawless Run of Show, communicate confidently with customers and staff, brew great coffee, organize inventory, drive a delivery van, load equipment, and jump in wherever needed to make an event successful.
What You’ll Do
Serve as a primary point of contact for catering and event customers, providing warm, professional, responsive communication.
Translate customer needs into clear plans and communicate details between customers, supervisors, baristas, production teams, vendors, and event staff.
Create detailed Runs of Show, timelines, checklists, packing lists, and staffing plans for events.
Coordinate staffing and ensure everyone understands their schedule, responsibilities, and event expectations.
Oversee coffee brewing and preparation to ensure Java Love quality standards are met.
Determine product, equipment, serviceware, and supply needs and make sure everything is ordered, prepared, packed, and ready on time.
Work as barista for mobile espresso cart for pop up events
Maintain an organized inventory system for catering equipment and supplies so we always know what we have, where it is, and when it is needed.
Research, secure, and track any required event permits, licenses, certificates, insurance documentation, or approvals.
Drive a Java Love delivery van and participate in loading, unloading, setup, service, breakdown, and returning equipment to its proper location.
Troubleshoot event-day issues calmly and professionally.
Follow up with customers and help develop repeat catering and event business.
Who We’re Looking For
You may have a background in catering, hospitality, restaurant/café management, event planning, weddings or venues, banquet operations, event production, experiential marketing, food-service operations, or catering/event sales.
Our ideal candidate has:
Previous barista or specialty coffee experience
Excellent project management and organizational skills
Exceptional attention to detail
Not afraid of manual labor
Outstanding written and verbal communication skills
Strong customer-service skills and confidence communicating with both customers and internal teams
The ability to manage multiple moving pieces, deadlines, and people simultaneously
A proactive, problem-solving mindset and strong sense of ownership
Experience managing events from planning through execution preferred
A valid driver's license, clean driving record, and comfort driving a delivery van
Ability and willingness to lift, carry, load, unload, set up, and break down event equipment and supplies
Comfort using spreadsheets, checklists, scheduling, and inventory systems
A college degree is not required. We value relevant experience, judgment, initiative, communication skills, organization, and the ability to get things done.
Schedule
This is a part-time position with a flexible and variable schedule based on our event calendar. Candidates must be available for evenings, weekends, and occasional early mornings as needed.
Compensation & Growth Opportunity
There is also an opportunity for commission or performance-based compensation for new catering and event business generated.
We see significant potential to grow Java Love’s catering and events business. For the right person, this is an opportunity to do more than manage events—you can help build this part of our business and share in the growth you help create.
